What is a Conflicting Account?

A conflicting account occurs when a personal Google account (like one you use for Gmail, YouTube, Google Drive, etc.) already exists with an email address that you're now trying to use now for your Google Workspace account.

For example, if you previously created a personal Google account using your work email, such as john@business.com, and now you’re setting up Google Workspace with that same email, you’ll run into a conflict.

Why Do Conflicting Accounts Happen?

It's simple. Many people unknowingly create conflicting accounts by using their work email to sign up for personal Google services like:

  • Accessing Google Drive for personal files.
  • Watching YouTube videos.
  • Using Google Analytics for personal projects.
  • Simply having a backup email.

This isn’t a problem until you try to use that same email address for your official Google Workspace account. That's when Google flags it as a conflicting account.

Don't Panic! Googally's Got Your Back

When Googally encounters a conflicting account during your migration, we’ll present you with two options:

  1. Merge the Account
    • What it means: The data from the personal Google account will be merged into the new Google Workspace account.
    • When it’s ideal: This is best if the personal account is primarily business-related and there’s no personal data involved (or you prefer to still merge personal and corporate data).
    • What happens:
      • You will continue to access Google services (Drive, YouTube, etc.) using your work email, now through Google Workspace.
      • Any data you had in your personal google account such as files in Google Drive etc. will be transferred to your Google Workspace account.
      • You will now be managed by your company's Google Workspace admin.
      • You will have one single account (Google Workspace account) with all data in it including your personal account, think of it as a result of the merge of your personal and corporate account ending up in a single corporate Workspace account.
  2. Keep the Accounts Separate
    • What it means: The personal Google account will remain separate from the new Google Workspace account.
    • When it’s ideal: This option is best if the personal Google account contains personal data or if the user wants to keep their work and personal data separate.
    • What happens:
      • Your personal Google account will need to be renamed with a Google-provided email like john%company.com@gtempaccount.com.
      • Your personal data (Drive files, etc.) will remain intact.
      • The new Google Workspace account will be created with your original work email address and will be managed by your company.
      • You will have 2 accounts to maanage, a google renamed email like john%company@gtempaccount.com (personal google account) and a john@company.com (Google Workspace.
      • Your can later change john%company@gtempaccount.com to an email of your choice (e.g. @gmail.com, @yahoo.com etc) but not to your Google Workspace email.

Which Option Should You Choose?

Consider Merging If:

  • Your personal Google account is entirely business-related (e.g., work emails, files, and contacts), or you prefer to have a single account with everything in it (note: if you leave the organization after merging, your Google Workspace admin can control your data as it now belongs to the company after merging).
  • You prefer managing everything under one account for simplicity.

Avoid Merging If:

  • Your personal account contains personal photos, personal emails, or sensitive personal data and want to keep your professional and personal data separate for privacy reasons.
